You can start the offboarding process by opening the employee’s profile and entering the resignation date, last working date, and approver details in the Exit Details pop-up. Once saved, the system automatically creates a structured exit workflow.

Can the system auto-calculate the last working date?
Yes. When you enter a resignation date, the system auto-calculates the last working date based on the organization’s configured notice period (e.g., 90 days). You can modify the date if exceptions apply.

How do department clearances work in the system?
Each exit requires HR, IT, Asset, and Finance clearance. Approvers update their status as “Checked” or “Not Checked.” This ensures all access, devices, and financial items are properly closed before final exit approval.

Can I assign different approvers for each department?
Yes. Each department can have its own responsible reviewer. You can assign the approver from the dropdown while filling in exit details or update it anytime during the offboarding process.

What is the difference between “Approve Exit” and “Final Exit”?
Approve Exit: Confirms that all clearances and exit details are verified and accepted.Final Exit: Officially closes the employee’s profile, revokes system access, and marks the employee as no longer active in the organization.

Will employees receive notifications during the offboarding process?
Yes. Employees are notified about their resignation details, last working date, approval status, and any updates related to their exit process, depending on company notification settings.

What happens if a department has not completed its clearance?
The system will not allow the exit to be finalized. The pending department will be highlighted, and the responsible reviewer must update the status before the Final Exit action is allowed.

Can I edit resignation or last working dates after submitting the exit details?
Yes. HR or admins with the correct permissions can modify resignation dates, last working dates, comments, and assigned approvers until the exit is approved.

Does the system help prevent unauthorized exits or accidental approvals?
Yes. Only authorized users can approve or finalize exits. Each approval step is logged, and the system blocks Final Exit unless all clearances are completed, reducing risks of mistakes or premature offboarding.
